PF Return Filing Guide: Monthly EPF ECR, Step by Step
PF registration is one-time; PF returns are monthly. Here's how the EPF ECR works, the due date, what happens if you're late, and how to keep employees' credit clean.

Getting PF-registered is the easy part. The real work is the monthly ECR — and missing it costs interest and damages. Here's the guide.
Quick answer
After PF registration, every month an employer must compute provident-fund contributions, deposit them, and file the ECR (Electronic Challan-cum-Return) on the EPFO portal — typically by the 15th of the following month. Late filing draws interest and damages, and delays employees' PF credit.
What the ECR contains
The ECR is a member-wise statement of:
- Wages for the month
- Employee PF contribution
- Employer PF and pension (EPS) contribution
- Any arrears
From it, a challan is generated and both shares are deposited.
The monthly cycle
- Collect wage data for the month
- Compute contributions (employee + employer shares)
- Prepare and upload the ECR on the EPFO Unified Portal
- Generate the challan and deposit by the 15th
- Onboard new joiners (UAN/KYC) and process exits
Due date and late consequences
The ECR and deposit are due monthly (commonly by the 15th). Late deposits attract interest and damages under the EPF Act, and members' credit is delayed — which employees notice.
UAN and KYC upkeep
Each employee has a UAN (Universal Account Number) that's portable across jobs. New joiners need a UAN and KYC linkage; without it, contributions can't be credited properly. Keeping this current is part of monthly PF compliance.
Common mistakes
- Missing the monthly deadline (interest + damages)
- Wrong PF-wage computation
- Not generating UAN/KYC for new joiners
- Treating registration as the end of the obligation
Run the PF ECR on a tracked monthly calendar — or let us — and PF stays clean and penalty-free.

Frequently asked questions
What is PF return filing?
The recurring monthly obligation, after PF registration, to compute provident-fund contributions, deposit them, and file the ECR (Electronic Challan-cum-Return) with the EPFO.
What is the ECR?
The Electronic Challan-cum-Return — a member-wise monthly statement of wages and contributions filed on the EPFO portal, against which PF is deposited.
When is the PF return due?
Monthly — the ECR and deposit are typically due by the 15th of the following month.
What happens if PF is filed or deposited late?
The EPFO levies interest and damages under the EPF Act, and employees' PF credit is delayed. Timely monthly filing avoids this.
What is a UAN?
A Universal Account Number — a portable PF number for each employee. New joiners need a UAN and KYC linkage so contributions credit correctly.
Do I file PF returns even with no changes?
Yes — contributions are monthly, so the ECR is filed and deposited each month for active members.
Is PF registration the same as PF return filing?
No — registration is the one-time setup; return filing is the recurring monthly compliance that follows.
